Paperiton DMS Document Management System has a sophisticated integration to
Microsoft Office.
Our integration functionality does not change in anyways the standard
functionality of Office products, unlike some of our competition still do.
Paperiton DMS does not force to save all documents to the DMS, simply because
rarely absolutely all documents need to go there. You can also use the Office
applications with Paperiton DMS running. Only when you want to save a document
to the archive, it will be launched for you.
End-user's experience in real life work has been the starting point when we
designed this key integration solution of Paperiton DMS.
The Paperiton DMS One-Button Principle
From the Microsoft Office products, you save the document to Paperiton DMS by
clicking the toolbar button. Paperiton DMS integration has been built as a real
Microsoft Office Add-in, and as such, there is no hassle with templates or
macros, and the reliability and performance features are
what they are supposed to be: very good.
The concept works the same in all supported Microsoft Office products.
Working with Microsoft Word integrated to Paperiton DMS
Launch Word. Create your document as you normally would. When it is time
to store the document to Paperiton DMS, click "Save to Paperiton" button,
and fill in the meta information in the Document Properties window presented to
you.
That's it - a new document has been added to Paperiton DMS!
Next, we use Paperiton DMS to do a check-out of the same document.
Select the document and select "Check-out Document" from the context menu.
The document is retrieved from the DMS, and shown to you in Word. Now, you can
modify it, and when you are ready, click again "Save to Paperiton", and the new
version of the document will be checked in.
When working with Paperiton DMS, the user does not have to worry
about where the local working documents are located. The DMS takes care of that
for you. If you really need to know, that information is of course available to
you. But, in regular work, why should you as a user be bothered about
a piece of technical information like that?
Also, there is again one possibility of a user mistake less to create
confusion, when Paperiton DMS takes care of the local files.
To create an even simpler integration would require mind-reading.
Unfortunately that is something we don't do.
Working with Microsoft Excel, PowerPoint or Visio integrated to Paperiton DMS
You know it already!
The process of working with documents is exactly the same in Microsoft
Excel, PowerPoint and Visio that you already learnt with
Word.
Working with Microsoft Outlook integrated to Paperiton DMS
Outlook is by nature different from the above mentioned applications. In a
sense, Outlook is already kind of a specialized document management tool.
In Outlook the "documents" it contains can be for example email messages,
contacts, notes, appointments and tasks. All these can be saved to Paperiton
DMS with the "One-Button Principle", just as easily as with the other MS Office
applications.
With Outlook, you may want to collect and store to the DMS all email
correspondence to a customer, or those concerning a certain project. Simply
select all the items you want, and click the "Save to Paperiton". From that
point on, the operation is like in the other applications.
